Confirm authorization and timing

Offboarding affects access and business records. Provide the employee's business account, authorized approver, exact effective time with time zone, and a contact available during the change. Use your organization's established confidential process when employment details are sensitive.

Identify what needs a decision

  1. Accounts, devices, applications, groups, and remote access to review.
  2. Ownership of shared files, business workflows, and managed resources.
  3. Mailbox handling and any approved temporary delegate.
  4. Retention requirements supplied by the appropriate business owner.
  5. Equipment-return and license-review arrangements.

Removing a license, blocking sign-in, deleting an account, and preserving business data are different actions. Do not assume that requesting one automatically authorizes all of them.

Plan the sequence

Ask the team to confirm scope, dependencies, and validation before the effective time. Data transfer or deletion may need separate approval. Where timing is urgent, follow the agreed escalation route and keep the written request current.

Verify completion

The authorized contact should receive confirmation of the actions performed and any outstanding items. Review business continuity for shared processes and resources that the employee owned. Avoid circulating the former employee's credentials; approved delegation should use the remaining employees' own identities. Keep follow-up decisions in the same controlled conversation.
