Request technology access for a new employee

Coordinate accounts, licenses, equipment, and approval before the start date.

Start with the person and date

Provide the employee's name, business role, manager, start date, and work location. Identify the authorized approver. Avoid sending unnecessary personal identity documents or sensitive employment information through a general support ticket.

Define the required access

  1. Specify the business email naming convention or requested address.
  2. List applications, groups, shared mailboxes, and business resources needed.
  3. Describe required equipment and whether it is already available.
  4. Identify any licensing or purchasing approval required.
  5. Explain remote-access and security onboarding needs.

Use a role-based access list when possible. “Copy another employee” can accidentally grant unrelated privileges; identify the actual tasks the new person must perform.

Agree the handoff

The team should confirm what will be prepared, which items depend on approval or licenses, and how the employee will securely establish credentials. Do not ask for a password to be placed in a public ticket conversation or sent to multiple people.

Confirm readiness

At handoff, verify sign-in, required applications, mailbox access, and approved device setup. Keep remaining gaps on the onboarding ticket with clear owners. If the start date or role changes, update the request early so access is not enabled at the wrong time.
